Nick and Bro's Inc. ("we," "us," or "our") operates Nick and Bro's Inc. and the website at nickandbrosinc.com (the "Site"). This Privacy Policy explains what information we collect from visitors and clients, how we use it, and the choices you have. We are based in Raleigh, North Carolina, and primarily serve commercial property managers across Wake County and surrounding North Carolina markets.
1. Information we collect
We collect only what we need to respond to inquiries and provide our services.
Information you provide directly
- Quote and contact forms: name, company, email address, phone number (optional), property address or city, service type, scope notes, and any other details you choose to include.
- Email and phone: the contents of correspondence you send us, including attachments (e.g., scope-of-work documents, photos of the site).
- Vendor and compliance documentation: information you share to verify us as a vendor (W9 requests, insurance certificate routing, account contacts on platforms such as RealPage, NetVendor, and VendorCafé).
- Service records: work orders, photo QA reports, before/after photos of work areas, and signed acknowledgments related to completed cleanings.
Information collected automatically
- Server logs: IP address, user agent, referring URL, requested URL, and timestamp. Retained for security, abuse prevention, and diagnostics.
- Form anti-abuse: we use a hidden honeypot field and rate limiting on submissions to deter automated spam. We do not currently use third-party CAPTCHA, advertising trackers, or behavioral analytics tools on the Site.
What we do not collect
We do not knowingly collect information from children under 16. We do not collect Social Security numbers, payment card data, or financial account credentials through the Site. We do not maintain advertising profiles about you.
2. How we use information
- Respond to your inquiry, provide quotes, and schedule walkthroughs or services.
- Communicate with you about active engagements (scheduling, scope changes, completion reports).
- Maintain records required by our insurance carrier, tax authorities, and corporate clients' compliance programs.
- Investigate suspected fraud, abuse of the Site, or misuse of our services.
- Comply with legal obligations (subpoenas, court orders, regulatory requests).
We do not sell your personal information. We do not share your information for cross-context behavioral advertising. We do not use your information to train artificial intelligence models.
3. How we share information
We share personal information only in these limited cases:
- Service providers who help us operate our business — for example, our email provider (Google), website hosting infrastructure, and accounting software. These providers are contractually limited to using your information to support our operations.
- Compliance platforms (e.g., RealPage, NetVendor, VendorCafé) when a client requires vendor verification. We share only what the client requests for that purpose.
- Legal and safety — when we reasonably believe disclosure is required by law, necessary to enforce our agreements, or to protect the rights, property, or safety of any person.
- Business transfers — in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honor commitments made in this policy.
4. How long we keep information
- Quote inquiries that don't become work: retained up to 24 months for follow-up, then deleted.
- Active client records: retained for the duration of the engagement plus 7 years, to satisfy tax, insurance, and audit requirements.
- Server logs: retained 90 days, then rotated.
- Photo QA records: retained 24 months, then deleted unless a client contract requires longer retention.
5. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including TLS encryption for the Site, limited access to records on a need-to-know basis, and prompt patching of known vulnerabilities. No system is perfectly secure; we cannot guarantee absolute security of information transmitted over the internet.
6. Your choices and rights
You may contact us at any time to:
- Request a copy of the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information, subject to retention obligations described above.
- Opt out of further marketing communications. (We do not currently run marketing email campaigns; transactional messages about active engagements are not optional.)
Residents of certain U.S. states (including California, Virginia, Colorado, Connecticut, and Utah) and individuals located in the European Economic Area or United Kingdom may have additional rights under applicable laws (CCPA/CPRA, VCDPA, CPA, CTDPA, UCPA, GDPR/UK GDPR). To exercise those rights, email us at the address below. We will not discriminate against you for exercising any right granted under applicable law.
For California residents: in the preceding 12 months we have not sold personal information for monetary value, and we have not "shared" personal information for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA.
7. Cookies and tracking
The Site uses a single first-party session cookie required for security and form handling. We do not currently set advertising cookies, third-party analytics cookies, or tracking pixels. The contact page embeds a Google Maps frame; if you interact with that map, Google may set cookies subject to its own policies.
8. Third-party links
The Site may link to third-party websites (for example, our compliance partners, vendor portals, or tool vendors). We are not responsible for the privacy practices of those sites. Review their policies before submitting information.
9. Changes to this policy
We may update this policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be reflected on this page; for active clients, we will additionally provide notice by email when changes meaningfully affect your rights.
